Who we are

Fettle is a hiring network for medical and healthcare professionals in Australia. Our website is findwithfettle.com.au, our ABN is 88 662 153 291, and our contact email is hello@findwithfettle.com.au.

This policy applies to information collected through the Fettle website, the Fettle network, and any related communication with us.

2.

The information we collect

We collect different information depending on who you are and how you interact with Fettle.

If you join the network as a member: your name, email, mobile number, registration or accreditation number (AHPRA, or ASAR for sonographers), primary discipline, and location.

If you complete the optional second stage of sign-up, you can also share other disciplines you work alongside, your LinkedIn profile URL, and your resume. Your resume and LinkedIn profile typically include career information such as your employment history, qualifications, skills, system and technical experience, languages, and any other detail you've chosen to include in those documents. We use this to build your Fettle Member Profile (see clause 3).

When you engage with a specific opportunity, you may also tell us your current role and seniority, salary expectations, notice period, and any conflicts (such as employers you don't want to be shown to).

If you post an opportunity as a client: your name, role, organisation, contact details, and the details of the opportunity you're posting.

If you're referred to a role by a member: your name and contact details, and the information the referrer provides about you. The member must have your consent before sharing this.

If you choose to engage with the role, you'll be invited to complete your own profile, optionally upload your resume, and confirm your participation. Your resume, like a member's, typically contains career information such as employment history, qualifications, skills, system and technical experience, and languages. We use this to build a Fettle Profile for the specific role you've engaged with (see clause 3).

If you visit the website: basic technical information that any website receives, such as your IP address, browser type, and the pages you view. We don't use cookies for tracking, advertising, or analytics.

We don't collect or store financial information, payment card details, or government identifiers other than AHPRA registration or ASAR accreditation numbers.

How we use it

We use the information we collect to:

  • Verify members and confirm their AHPRA or ASAR registration.
  • Build Fettle Profiles for members and for candidates who have been referred and choose to engage with a role. Resumes and LinkedIn profiles are processed (with the assistance of AI tools) to produce a polished, structured profile of professional experience, written in Fettle's voice. The profile contains career information (professional summary, skills, system and technical experience, qualifications, languages, employment history) but is masked by default. Names and personal contact details are not shown to clients until the individual opts in to be considered for a specific role.
  • Match members and candidates to relevant opportunities.
  • Communicate with members about live opportunities.
  • Communicate with clients about applicants and shortlist progress.
  • Process placements and pay referrers.
  • Improve the Fettle service and respond to questions.

We don't use your information for advertising, sell it to third parties, or share it with anyone outside the Fettle process.

Who we share it with

We share information only as needed to do the work above:

With clients posting an opportunity: we share Fettle Profiles of members and candidates being put forward for a relevant role. The profile includes career information (employment history, qualifications, skills, languages, and so on) but is masked by default. Clients see professional experience without names or contact details. Identity is shared with a client only at the point of mutual interest in an interview, with the individual's consent.

With members and candidates: we share role details from clients so members can decide whether to apply or refer, and so candidates can decide whether to engage with a referral they've received.

With the AHPRA and ASAR registers: we check member registration or accreditation numbers against the relevant public register to confirm status. We don't transmit personal data to AHPRA or ASAR, just look up the public record.

With service providers: we use a small number of secure third-party tools to run Fettle. These are Airtable (member, opportunity, and application records), Microsoft OneDrive (resume storage), Cloudflare (website hosting), Google Workspace (email), Hostinger (domain registration), and AI tools used to help generate Fettle Profiles. These providers process information on our behalf and are bound by their own privacy obligations. They are not permitted to use Fettle data for their own purposes.

We don't share information with anyone else unless required by law or with your explicit consent.

5.

Where information is stored

Information is stored within the systems listed above. Some of these providers may store data outside Australia. By using Fettle, you consent to your information being stored and processed by these providers, including in jurisdictions outside Australia where applicable. We choose providers with strong security and privacy practices.

How long we keep it

We keep your information for as long as it's needed to do the work above, plus a reasonable period afterwards for record-keeping and legal obligations.

Member records: kept while you're an active member, and for two years after you leave the network or your account becomes inactive.

Candidate records (referred and engaged with a role, but not a member): the referral information (name, contact details) is kept for 12 months from the introduction. Any resume you've provided and the Fettle Profile generated from it are kept for the duration of the relevant role process and for six months afterwards, or deleted sooner if you ask. Deleted entirely 12 months from introduction unless you've joined the network in your own right.

Application and placement records: kept for seven years from the placement date, to comply with tax, employment, and contract record-keeping obligations.

Client records: kept while you're an active client, and for seven years after the last placement.

If you ask us to delete your information sooner, we'll do so to the extent we're legally allowed (some records, like financial transaction records, must be retained for tax and audit purposes).

7.

Your rights

You have the right to:

  • Ask us what information we hold about you.
  • Ask us to correct information that's inaccurate.
  • Ask us to delete your information (subject to the retention rules above).
  • Withdraw consent for us to contact you about opportunities at any time.
  • Make a complaint if you think we've handled your information badly.

8.

Security

We protect your information with reasonable security measures, including encrypted storage, restricted access within Fettle's small team, and the security practices of the third-party providers listed in clause 4. No system is 100% secure, but we take this seriously and we'd rather hold less data than more.

9.

Children

Fettle is for registered medical and healthcare professionals. We don't knowingly collect information from anyone under 18.

10.

Changes to this policy

If we change this policy, we'll update the version and date at the top, and we'll notify members by email if the changes are material. The current version always lives at findwithfettle.com.au/privacy.html.

Complaints and contact

If you have a complaint about how we've handled your information, email hello@findwithfettle.com.au. We'll respond within 30 days.

If you're not satisfied with our response, you can make a complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
